Hire and rental
This guide is the second of a series of set-up guides which aim to help all of our users set up and tailor their BookingBug accounts to their business type. Whether you hire out items or spaces, this guide will walk you through the set-up process involved for your Hire & Rental business. Follow these step-by-step instructions to set up your account and learn about some useful tools and features recommended just for you.

Before you start, you need to make sure your Business Settings have been configured correctly for your business type. Click the Gear icon *() and then go to Settings > Business* to view your settings.

Time-Based Services, and select one of the following:

  • Single Service – If your business offers just one type of hire, i.e. tennis court hire.

  • Multiple Services – If your business offers more than one type of hire, i.e. tennistennis court hire, squash court hire.

Tick Physical Resources, and select one of the following:

  • Single Resource – If you only have one item to hire out, i.e. just the one tennis court
  • Multiple Resources – If you have several items to hire out within different types of services, i.e. one tennis court and one squash court.

Once you have chosen your settings, don’t forget to press Save.

Setting up


*Setting up physical items*

You’ll want to set up the physical items that you have available to hire out. These could be items or spaces, such as bikes, recording studios and B&B rooms. To set these up go to Configure > Your Business > Resources.  From here, you will be able to view your existing Resources and also create new ones.

If you have multiple items or spaces that are identical, you can collate these into one Resource and have them distributed to each booking at random. For example, if you have five tennis courts, the system is able to select one of the courts at random for the customer booking.

To enable this feature, click the Gear icon *() and then go to Settings > Resources. Under *Multiple Identical Resources, change the setting to **Multiple Identical Resources and press Save. You will then be able to input the amount of each type of Resource you have.

Setting up hire types

Next you will need to set up your types of hire. These are classed as Services. This can be done by going to Configure > Your Business > Services. From here you can view your existing services and create new ones.

You may want to have services with different timescales, for example ‘hourly tennis court rental’ and ‘daily tennis court rental’. To do this, you will need to click the Gear icon *() and go to Settings > Services. Under *Service Type, change your settings to **Combination and then press Save.

Once these settings are enabled, you will be given the following timescale options next time you go to create a new service:

  • Create Week Service – For rentals lasting one week b&b
  • Create Day Service – For rentals lasting one day
  • Create Hour/Minute Service – For rentals that last for some amount of time during the day
  • Create Variable Time Service – For rentals that have travel, set-up and/or clear up time associated with them (hourly).

Change the day your week starts on
If you take weekly bookings, you may want to set the start day as a different day of the week.

*Show all your availability, but only allow bookings to commence on certain days
In your widget, you may wish to show all of your availability, but only allow bookings to take place on certain days of the week.

For example, if you rent out a holiday cottage and only wish to take 5-day bookings that commence on a Monday, but would also like people to be able to contact you for booking weekend breaks, then this setting is perfect for you.

*Hire out other items in conjunction with bookings
You can offer your customers a Shopping Basket to hire out any extra items before they place their booking. For example, if you offer tennis court hire, you could also offer tennis rackets for hire as an added extra.

*Set up deposits
You may want to enable deposits to cover you against damages/loss of your resources, and even to compensate for no-shows and cancellations. Deposits can be set as either a fixed amount or as a custom percentage of the booking price.

To ensure customer liability for the protection and care of your resources, you may want to set up terms and conditions.

Booking Questions and Customer Questions

During the booking process, you have the option to ask the customer questions. This is a useful tool in case you need to know something about the customer that may affect their rental (i.e. ‘Would you like to rent a drum kit during your studio rental?’).

If you are offering extras, you are able to add prices to the booking question if needed.

Questions can be set up as either Booking Questions or Customer Questions, depending on whether you would like a question to be asked every time a service is booked, or just the once and then saved against the customer profile (i.e. ‘Do you have any allergies?’)

Price by Resource

You may want to price your services in terms of the Resource, as opposed to the Service. For example, if you have one tennis court that is larger than your others, you may want to charge more for it.
